Recurring, identical charges — internet, software subscriptions, insurance drafts — are ideal. The vendor is constant, the category never changes and the amount rarely moves.

Rules that cause damage

Broad text matches catch the wrong transactions. A rule matching 'AMZ' will code Amazon Web Services, office supplies and a personal purchase to the same account. Payment processors are worse, because one descriptor covers dozens of unrelated purchases.

  • Avoid single-word matches shorter than five characters
  • Do not auto-add anything with variable categorization
  • Never auto-add transfers — they are not expenses
  • Keep loan payments manual so principal and interest stay split

Maintenance

Descriptors change when vendors switch processors. Quarterly, review which rules fired and which transactions still land uncategorized, then adjust.
